NEW Improved Product Purge Features in Sympac
Clean Up Your Product File With Confidence
In the lead-up to our next major Software Rollout, we are introducing new and improved features designed to make everyday work in Sympac easier.
Clean Up Your Product File With Confidence
Over time, every product file accumulates items that are no longer sold, stocked or required. The challenge is knowing which products can be safely removed without affecting stock records, transaction history or activity at other branches.
That's why we've completely rebuilt Product Purge as part of our next major Software Release [9.01.03] due out in November 2026.
The new version has been redeveloped from the ground up, giving businesses a safer and more transparent way to identify products that are no longer needed. Most importantly, it now validates activity across every store in a multi-branch environment before allowing a product to be removed.Keep reading to find out more.
Why Product Purge Has Been Enhanced
Product Purge has been completely redeveloped ready for our next major Software Release in November 2026, delivering greater visibility and confidence for multi-stores and when identifying products that are no longer required.
The new version introduces comprehensive multi-store validation, allowing Sympac to review activity across every branch before a product is removed. It also provides clear explanations for every product, showing exactly why it can or can't be purged.
The result is a safer, more transparent process that helps businesses maintain a cleaner product file while reducing the risk of removing products that are still active elsewhere in the group.
π No guesswork.
π No uncertainty.
β Just complete visibility before action is taken.

About the New & Improved Features!
Product Purge gives you flexible filtering options to help narrow down the products you want to review.
You can filter by:
-
Product Code
-
Department
-
FLC
-
Supplier
Filters can be applied using ranges or "contains" searches, making it easy to target specific product groups without reviewing your entire product file.
Before loading products, you can define the rules Sympac uses to assess eligibility.
Options include:
-
No Activity For (Months) - Defaults to 24 months.
-
New Products Before - Protects recently created products and defaults to 30 days ago.
-
Status Filters - Include Obsolete, Deleted and Superseded products, or choose to ignore status flags entirely.
-
Once loaded, every product receives a clear verdict:
β Purgeable = Yes (displayed in green)
β Purgeable = No (displayed in red)
A detailed Reason column explains exactly why a product cannot be removed.
The biggest improvement in the new Product Purge is the validation process.
Before allowing a product to be purged, Sympac checks every store for:
-
Stock on hand
-
Stock movements
-
Open documents
-
Recent sales activity
-
Sales history
-
Missing branch records
-
Held products
-
Buy-in tracked products
-
Product type and status
-
Recently added products
If a product remains active at any branch, it cannot be purged, even if it has been selected.
For additional visibility, the Show All Products option displays products that cannot be purged along with every reason they are being retained.
Need more detail before making a decision?
Simply click on a product to open the store details panel.
At a glance, you can review:
-
On hand quantities
-
On order quantities
-
Customer order quantities
-
Last sale dates
-
Last stocktake dates
-
Recent stock transactions
-
Recent sales activity
Any store missing a branch record is clearly highlighted, helping you identify potential setup issues before proceeding.
Depending on your requirements, Product Purge provides two removal methods.
Flag Records for Delete
-
This option updates the product status to Deleted while retaining all associated records.
-
If needed, the product can easily be restored later through Product Maintenance.
Purge (Delete Records)
-
This option permanently removes the product and associated records from your system.
-
For most businesses, we recommend first flagging products for deletion and then purging them at a later date once you've confirmed they are no longer required.
Because purging data is a significant action, several safeguards have been built into the process.
These include:
-
Confirmation prompts that default to No
-
Audit files created for every purge run
-
Optional backup copies stored in the Electronic Price Guide
-
The ability to stop a purge process part-way through
-
Multi-store warnings if System Health Check is not enabled
-
Exporting results to Excel for review before actioning
These safeguards provide a clear audit trail while helping reduce the risk of accidental deletions.
Best Practice Tips Before Purging
Before removing any products, we recommend:
- Running a full backup
- Starting with a small product range or department
- Reviewing the Reason column carefully
- Checking store-level activity where required
- Keeping audit and Electronic Price Guide options enabled
Taking a few extra minutes to validate the results can provide peace of mind before performing a permanent purge.
